Hotel Settings

The settings in this page refer to system wide settings which are related to hotel applicable policies.

  • Hotel ID
    • Required to be configured to be used in the case of QR code generation for Early Arrival feature. This is the identifier of the hotel that will be used to validate the QR code.
    • Required to be configured when integrating with external systems and applications (such as STB/EVA).
  • Hotel Name: Configures the name of the hotel that will be included in the messages delivered to the guest.
  • Time Zone: Configures the time zone for the hotel. Any time stamp which can be configured or seen in Kiosk Admin refers to this time zone. By default, value is empty which means UTC time zone will be used.
  • Enroll guest as a member: Turns the Enroll guest as a member in Hotel Loyalty program on or off.
  • Document Validation Rules: Allows entering a list of country codes that are exempt from requiring document scan. Use this option for countries whose passports do not contain a character set that is supported by the PMS for name match such as documents containing only kanji characters.

    The Document Validation Rules feature is only released in the Japan market.

    • Enter into the edit box country codes in Alpha-2 or Alpha-3 format, semicolon separated.
    • If country codes are entered, a message box will be seen in the Kiosk Client on the scan document screen asking the guest if they are a resident of one of the countries in the list. If the guest answers in the affirmative, then document can and picture verification steps in the flow are skipped.
    • The flow will skip the face verification step, the optional additional guests to the reservation step, and proceed to the booking details screen.
    • If a guest answers no to being a resident of a country in the list but scans a passport that has country of origin from a country on the list, the verification step is skipped as if the guest answered yes.

    Document validation rules limitations

    • Only the primary guest will be asked to confirm country of residence. It is assumed all other guests on the reservation match the country of residence as the primary guest.
    • The application will not register additional guests in the PMS. Updating guests in the PMS uses the scanned document data.
    • If scanning a document for a guest that is skipped, sending the guests data to an external validation connection cannot be performed. External Validation requires information from the scanned document.
  • Check In Rules: Settings related to guest check in process.

    • Minimum Check In Time: Represents the earliest allowed time for a guest to check-in via the Kiosk machine. Before this time, guests cannot check in via Kiosk, they can only perform an early arrival pre-check in process (if enabled), without getting their room key cards. Guests must proceed to front desk if they need to perform an early check in with getting their room key cards.
      • ... Hour: Defines the hour part of the allowed check in time. Must be in range 0..23. Default value is 14.
      • ... Minute: Defines the minute part of the allowed check in time. Must be in range 0..59. Default value is 0.
    • Allow Guests To Have Multiple Checked In Reservations: Check this box if the hotel allows guests to have more than one checked-in reservation under the same name.

      This setting may require specific PMS side settings. Check your PMS adapter documentation to see whether your PMS supports this function.

    • Activate Early Arrival: Turns the Early Arrival feature on or off. When unchecked, the system does not allow early arrival pre-check in. When enabled, the guest can start the check in process but must come back to retrieve keycards after the minimum check in time. By default, this feature is disabled.

      A Hotel ID must be configured for early arrival QR code generation.

      • Send Room Ready Notification: Enables sending a reminder with the allowed check-in time after the guest completes the early arrival pre-check in process via the Kiosk. An email or SMS text is sent to notify the guest to return to Kiosk for completing the check-in process after the allowed check in time.
  • Check Out Rules: Settings related to guest check out process.

    • Maximum Check Out Time: Represents the maximum allowed time for a guest to check-out via the Kiosk machine.
      • ... Hour: Defines the hour part of the allowed check out time. Must be in range 0..23. Default value is 12.
      • ... Minute: Defines the minute part of the allowed check out time. Must be in range 0..59. Default value is 0.
    • Buffer Time: Represents, in minutes, how long can delay the guest completing the check-out process via Kiosk, after the configured check-out time.

      After (Check Out time + Buffer time), guests cannot check out via Kiosk any longer and must proceed to front desk for checking out.

    • Allow Early Check Out using Smart Kiosk: Check this box if early check out is allowed via kiosk machine.

      Early Check Out means to allow guests to check-out on a date which is earlier to their actual reservation check-out date. It actually refers to thedate, not to the time of day

      Not all Property Management Systems support early check-out from the API.
