Guest Details

The optional Guest Details page is designed to show information collected from the guest prior to checking in. Guest data is collected from scanning documents, reservation details from the PMS and questions asked to the guest if extra information is needed to be collected for an external data collection agency for review. The Kiosk Administrator Guest Details configuration page allows some fields to be hidden or viewable and editable or read-only. The fields that are seen by the guest can be customized per hotel.

  • Enable Guest Details: Enable/disable feature. Default value is false.
    • Show Guest Details for Accompanying Guests: Enable/disable the feature when checking in accompanying guests. Default value is true.
  • Order key
    • Guest details are displayed in Client and in Admin based on this order key, sorted alphabetically.
    • Mandatory string, accept any digits, letters and underscores chars w/o spaces.
  • Translation Key
    • It is used as a key for the localized text of questions (in a similar manner like for UDF fields).
    • Mandatory string, accept any digits, letters and underscores chars w/o spaces.
    • The text that the Kiosk Client will show per each field is going to be taken from the translation files.
    • Each translation file will have its own text for a specific translation key.
  • Mandatory
    • Boolean value, to be interpreted as:
      • True => fields that are mandatory in Kiosk Client → Guest Details Summary
      • False => fields that are not mandatory in Kiosk Client → Guest Details Summary
    • It is used for:
      • Highlighting the fields that are mandatory to completed.

      Note

      • The asterisk(*) will be placed in the left side of the field.
      • The asterisk(*) will appear only for fields that are mandatory (Mandatory => true) and editable (Allow Guest to Edit => true).
  • Display to Guest
    • Boolean value, to be interpreted as:
      • True => show field in Kiosk Client → Guest Details Summary
      • False => field is not shown in Kiosk Client → Guest Details Summary
  • Allow Guest to Edit
    • Boolean value, to be interpreted as:
      • True => allow field to be edited from Kiosk Client → Guest Details Summary (only if also Display to Guest is set to true, to show the field on the page)
      • False => field is read only in Kiosk Client → Guest Details Summary

A default set of supported fields is provided. The fields can be modified by editing, adding, or removing as needed to customize the display.

Warning

For an upgrade install, you need to Restore Defaults to see a new guest detail fields added since the previous release.

Warning

When adding new guest detail fields, new fields are for display purposes only and if data is going to be populated in a newly added field it must already be supported. New fields will not be saved in the property management system or any other external system by just adding them to the Kiosk Admin Guest details configuration page.

The default guest detail field's Translation Keys related to scanned document data are reserved and will have a specific behavior if attempted to be re-used.

The following table shows the list of supported fields for ALL regions.  The table shows where the data is populated from and if the guest can edit those fields if the field is marked as editable. This table applies to both Opera and Infor PMS systems.

If the field has "*PMS" shown, this implies that if the scanned document does not have this information, but the PMS does, the guest details will be pre-populated from the PMS for that field. The scanned document is the master and will take precedence over the data pre-existing in the database. Scanned document data will be saved in the PMS where applicable.

The scanned document fields that come from a government issued ID cannot be edited by the guest. This is true even if you delete the field and recreate it with the exact same name but created as "allowed to edit". The default "Translation Key" name of the Scanned Document field names is reserved, and the Kiosk Client guest details page will not allow those fields to be editable.

Scanned document fields that can be edited are the address and country of residence fields.
